List of all PoolCar Reports with Brief Descriptions
All Reports available in PoolCar are located in Sysadmin > Main Menu under the Reports section.
Use this table to understand what each report can analyse for your drivers and fleet vehicles.
Report | Brief Description |

Fringe Benefits Tax | (a) By Driver - Shows the total number of nights the driver had a vehicle home garaged. (b) By Booking - Shows each individual booking where the vehicle was home garaged and for how many nights. |
Vehicle Utilisation | Report on vehicle usage over a selected period. |
Internal Charging | Extracts all booking data including driver, cost centre, booking type and charge based on the charge out rates. |
Fuel Consumption | Shows fuel records for each individual vehicle including how much fuel was put in and how much the transaction cost providing valuable data to compare fuel efficiency across the fleet. |
Lease Snapshot | Performs calculations to produce a confidence number or score, which represents whether or not you are likely to exceed the lease term and thus incur penalties from the lessor, based on current usage patterns. |
Expenses by Licence Plate | Report is designed to allow organisations to export a snapshot of expenses recorded against each vehicle, providing insights into where costs can be reduced or eliminated. |
No ODOs | Report identifies any bookings that have been completed without odo readings. |
Log Book Report | (a) By Rego - Extract the business versus private use kilometres from the system to help you claim business use costs back, by rego/licence plate. (b) By Driver - Extract the business versus private use kilometres from the system to help you claim business use costs back, by driver. |
ODOs As At (Date) | Displays odometer readings at a specific date. |
Passenger Run Sheet (Milk Run) | Lists all passenger information on the reported date for a named driver, ahead of their run. |
Vehicle Stakeholders | Lists all contacts for a vehicle (primary and secondary contacts). |
System Messages Activity Log | Lists all system messages that displayed for each user, including the date of acknowledgement. |
Upcoming Registration Renewals | List of all upcoming registrations. |
CO2 Emissions | Will display if CO2 data has been entered into the vehicle register in PoolCar, will display previous 6 months and next 6 months of data based on completed bookings. |
Replacement As At (Date) | If replacement information has been added into PoolCar, this report enables reporting on the remaining odo/hours/days as well as whole life cost. |
Insurance Claims | Report on all insurance claims by rego/licence plate. |
Pool Utilisation by Month | Report on all pool usage by calendar month, providing valuable insights to better understand and compare pool usage over the course of a year. |
Pool Utilisation by Day | Report on all pool usage by day, providing valuable insights to better understand and compare pool usage over the course of a week. |
Pool Utilisation by Hour | Report on all pool usage by hour, providing valuable insights to better understand and compare pool usage over the course of a day. |
Expenses (Last Date) | Lists expenses against each vehicle in PoolCar including fines and servicing |
KeyMaster Prompt Answers | Report on all KeyMaster prompt answers, can be filtered by booking ID number, driver, prompt, rego/licence plate, dates and pool assignment. |
Failed Booking Requests | If auto vehicle allocation is enabled, this report will show when a user has tried to make a booking, and wasn’t able to as there were no vehicles available, the report includes body type, fuel type, transmission type filters and can be sorted by pool. |
Passenger Manifest | Report on bookings with passengers, can be filtered by booking ID number, rego/licence plate and displays the passenger details, planned pick up and drop off and odo details if entered against the booking. |
