Getting Started

What is the Smartrak PoolCar App?

Downloading the Smartrak PoolCar App

The Smartrak PoolCar App is designed for mobile workforces to manage PoolCar bookings on the go.

Users can create, edit, or cancel bookings, and lock or unlock vehicles for keyless entry.

The app works both online and offline. When out of mobile coverage, it uses Bluetooth to lock and unlock vehicles.

NEW: Enhanced passenger management allows drivers to record odometer readings and time against individual passengers during a trip.

The Smartrak PoolCar App is available on the Apple App Store and Google Play Store.

Using the PoolCar App

Logging In

Enter the URL

Sign into PoolCar

Enter your Credentials

Choose a Passcode

This will be used for all future logins from your mobile phone

Reset your Passcode

If you’ve forgotten your passcode, you can use the Forgot passcode? to re-sign into PoolCar and choose a new passcode.

Switching PoolCar Sites

If you need to login as another user, or log in to another PoolCar site, follow these steps.

Log into the PoolCar App.

Navigate to the vertical ellipsis and select Settings.

Click on Clear application data.

Click on Yes to the Warning! that appears.

Bookings

Create a New Booking

Bookings List

Tap the (+) button on the home page to create a new booking.

Enter Booking Details to Find Available Assets

Note: If Automatic Vehicle Allocation is turned on, only one vehicle option will be offered, instead of all available vehicles.

Select Asset from Available Assets

All available assets will be shown – tap the one you would like to book.

Complete the Booking Form

Answer all form fields.

You’ll receive your booking number in the next screen & via email.

Existing Bookings

View Existing Bookings

Note: Bookings more than 30 days away are not displayed in the app.

Bookings are listed by scheduled start time and are coloured based on status:

New - Not yet checked out
Checked out
Checked in

The list updates automatically when the page refreshes. Pull down on the screen to refresh.

Edit Existing Bookings

From the home page, tap a booking to view it.

From the three‑dot menu, select Edit to modify the booking.

Editable fields will be highlighted—tap a field to update its value.

Tap the tick to save your edits, or the cross to cancel.

Cancel Existing Bookings

From the landing page, tap a booking.

From the three‑dot menu, tap Cancel booking.

Select Yes to confirm the cancellation.

Select No to stop the process

Keyless Entry

For Keyless Entry users, existing bookings include a unique Bluetooth key, allowing you to securely unlock the vehicle when outside of mobile coverage.

Check Out/In

Check Out Booking

From the home page, tap a booking to view its details. This opens the Booking Details page, where all booking information is displayed.

From the three‑dot menu, tap Check out.

Check Out

Tap Check out to begin your booking.

Check In Booking

Booking Details  

From the landing page, tap a booking.

From the three‑dot menu, tap Check in.

Check Out/In (with Keyless Entry)

Check Out Booking

Booking Details 

From the home page, tap on a booking to view it in more detail. This will open the Booking Details page, where all information related to the booking is displayed.

From the three‑dot menu, tap Check out.

Unlock and Check Out

Tap Unlock and Check Out to start broadcasting to the vehicle’s keyless device via Bluetooth.

If the device cannot be detected, you can retry using Bluetooth or attempt an Unlock using Cloud and Check Out.

This may occur if you are too far from the vehicle—ensure you are at the correct vehicle.

Re-unlock Vehicle

From the booking details page, tap Unlock from the three‑dot menu.

The app will attempt to unlock the vehicle using Bluetooth

Check In Booking

Lock and Check In

The app will attempt to lock the vehicle using Bluetooth.

 

Undetected Vehicle

If the vehicle cannot be detected, you can retry using Bluetooth or attempt a Cloud Lock and Check In.

This may occur if you are too far away from the vehicle.
