WhyHave all your pool cars available to be booked through Smartrak booking.
WhatTo create virtual vehicles (i.e. untracked ) into pool booking system, so they can be manually checked-in and out.
How
  1. Log into Map site
  2. Select Pool Booking Module
  3. Admin, then System Settings
  4. Select ‘Allow user to create virtual units’ and click Save at the bottom

5. Admin, then Add Plant

  • Tracked Vehicle – select new untracked vehicle
    • Add
    • Asset/Plant Name - can be different from the Tracked Vehicle Name
    • Select
    • Plant Type
  • Select Category
  • Select Timezone
  • Select Base Location
  • Registration Number
  • Make, Model, Year
  • Start Odometer (not required)
  • Number of seats
  • Vehicle custodian if necessary
  • Is Shuttle – tick for Yes
  • Has Towbar – tick for Yes
  • Add in charge rates (not required)
  • Is vehicle FBT Compliant
  • Select Licence Class required to drive vehicle
  • Select Transmission – Auto or Manual
    • Choose Availability
    • (required)
    • Base Location (required)
    • Registration - auto fills from tracked vehicle information (required)
    • Make - auto fills from tracked vehicle information (required)
    • Model - auto fills from tracked vehicle information (required)
    • Year - auto fills from tracked vehicle information (required)
    • Start Odometer - auto fills from tracked vehicle information (required)
    • Number of Seats (optional)
    • Car park number (optional)
    • Use for trips between (optional)
    • Vehicle Custodian (optional)
    • Is Shuttle (optional)
    • Has Towbar (optional)
    • Charge rates & prices - if applicable (optional)
