Smartrak Fleet Servicing & Pool Booking Link

If your organisation uses Smartrak Pool Booking (not PoolCar) as well as the Smartrak Fleet Servicing module, there is an option to enable a link between the two systems so that resources can be booked out for service/maintenance bookings directly from Fleet Servicing.

Set-up

If you use both the Smartrak Fleet Servicing and Smartrak Pool Booking modules, please raise a Service Desk ticket to request the link be created between both systems.

How does it work?

Once the link is created, when you click on ‘book this resource in for a service’, the Booking Xxxxxx service - REGO page will open.

 

 

From here you can add in the service information:

  • Where

  • Details

  • Start time

  • End time

  • Book on behalf

  • Cost Centre

  • Select additional services to be completed at the same time

 

 

 

 

 

 

 

The calendar shows the Booking calendar with the Start time selected above showing as the first day. You can see any bookings on the vehicle which will allow you to work the service booking around staff use bookings

Please note: if you update the Start time of the maintenance booking, the calendar will refresh based on this being the first day.

What does the service/maintenance booking look like on the booking calendar?

The booking will show as a maintenance booking (orange) in Smartrak Pool Booking

How to edit or delete a maintenance booking

Navigate to Smartrak Fleet Servicing Services Status page and locate the service/maintenance booking.

Click on Edit the booking made for this resource

Make the required edits to the booking and click on Update service booking or click on Delete to delete the booking.

 

 

 

 

 

 

 

You can also get to this page by clicking on the maintenance booking in Pool Booking.

 

 

 

 

 

Click on the Service next to Edit booking at the top of the booking form.

 

This will take you to the maintenance booking in Fleet Servicing where you can edit or delete.
