Adding Internal Documents from the Document Register to emails

and pages in PoolCar

• Navigate to the SysAdmin Main Menu

• Go to Registers > Document Register and select the folder on the left where your PDF is stored

  • If you haven’t uploaded your document yet, you can do this by following Uploading Documents to the Document Register

  • Ensure you upload your document as a PDF so it creates a link, rather than a word document

    • If you need to load a Word document, you will need to copy the link of the document rather than follow the process below

• Once you can see your PDF, click the PDF link under File Name

• This will open a new window showing your PDF. In the URL bar at the top, highlight and copy the link

TIP: Paste this link somewhere (like Notepad on your computer), so you don’t lose it

• Navigate back to the SysAdmin Main Menu

• Select the Email Template you’re looking to edit under Email & Page Templates, (for this example I’m going to use the Email Template - Booking)

• Put the wording you’d like to appear on the email in in the position you’d like it to appear

  • e.g. Driver Agreement

• Highlight the text, and click the ‘Insert Hyperlink’ button at the top

• Paste the link you copied into the box and click submit

• Click Save

• Once a new booking is made, the wording will show on the booking email, with a clickable link to the PDF document
