Manage your vehicle miles vs age using Mileage Manager (in Admin)


Mileage Manager
The Mileage Manager admin page allows companies to set mileage budgets on their vehicles
Pool booking will use the budgets when allocating vehicles with the goal of balancing trips so all vehicles with budgets stay under their budgeted mileage
Of course this isn't always possible if there are a lot of bookings
Budgets can be set over Days, Weeks, Months or Years and will repeat once the period ends
To set up this feature
  • Log into the Smartrak Admin site (NZ or AU) and navigate to Booking > Plant Import

  • There are three options:
  1. Manual edit
  2. Bulk import
  3. Reporting
  • To manually edit at vehicle's options click "Edit" and then enter the travel distance budgets for each of your vehicles by entering the following information: Select vehicle, lease period start date, lease budget travel distance eg. 120000, lease period duration (Months) eg. 36. Once you have done this, click "Save"
  • Repeat for the remainder of the vehicles

  • To do a bulk upload you can upload a template CSV file from your documents. To do this click "Import"
  • Click "Download Example" and then populate the file with the required information which includes: Plant Name, lease start date, lease duration, total distance (km) on the lease eg. 120000

  • Once the spreadsheet has been populated you will need to save the file and then import it. To do this you will need to click the "Choose File" button and then select the saved file and finally click "Import"
  • To get reporting on remaining mileage on the vehicles click "Report". This will show all vehicles that have been set up in the system to use this feature. You can also download a spreadsheet file of this report by clicking the "Export" button


Plant Allocation

There are quite a few factors which can affect which plant gets allocated. They have been outlined them below in order of their importance.

1. Group  

- Vehicles in the drivers group will be allocated from first

- Vehicles in the default pool will be allocated from last

2. Overnight

- If booking is overnight, FBTCompliant vehicles will be allocated before non FBTCompliant vehicles.

3. Preferred Distance  

- Plants which have preferred distance that matches the trips estimated distance will be allocated before vehicles which do not have a preferred distance. Vehicles without a preferred distance will be allocated before vehicles that have a preferred distance which is less than or greater than the estimated trip distance.

4. Budget distance

- Vehicles with mileage budgets will be ordered by remaining mileage on the lease, that is, the remaining mileage on their budget divided by the remaining amount of days on their budget (average km/day remaining). The vehicle with the highest available mileage will be chosen.

- Vehicles with mileage budgets, that do not look like they will go over budget will be preferred to vehicles without budgets.

- Vehicles without mileage budgets will be preferred to vehicles with budgets that look like they may run over their budgeted mileage. (This is calculated by comparing the average mileage over the past part of the budget with their remaining mileage).

5. Odometer

- Positive/negative depending on company setting
