Making a vehicle unavailable for a period of time

Making a vehicle unavailable for a period of time

If you wish to make a vehicle or vehicles unavailable for a time period, there are a few different ways this can be managed.

Approval Trigger

Set an approval trigger on a vehicle or all vehicles - Approval Triggers

Priority Claim

Set up a priority claim on a vehicle - Priority Claims

Hidden from Booking System

In the Asset Register, in the Booking tab, locate the Hidden from booking system setting and change this to ‘yes’. This will instantly remove the vehicle from being able to be booked.

(note you will need to remove this tick when the vehicle is available again)

Cannot be Booked Before/After

In the Asset Register, there are fields called Cannot be Booked Before and Cannot be Booked After.

These could be used to stop booking after a certain date, for example, if you have a Christmas Closedown between the 20th December and 12th January, you could set the cannot be booked after date to be the 19th December.

You could also set the cannot be booked before to the 13th January the following year, but would need to set this after all bookings have been completed for the current year.

(note you should update the cannot be booked after date when the vehicle is available again)

Access Groups

If you use access groups, you could remove the tick from the access groups in the driver register (and update the setting so drivers cannot set their own access groups), and then give back access in the New Year. Access Groups

And finally, add a System Message to tell your people what is happening.
