Getting Started

What is KeyMaster?

KeyMaster® is an affordable, easy-to-use electronic key cabinet. Each key fob is held in place with a locking pin. When a driver enters their Employee ID, Booking ID or swipes their integrated RFID card at the large 7” touch screen the door unlocks, and a light comes on to indicate which key they can take.

How to use the KeyMaster

Departing

Once your PoolCar Booking has been confirmed, the keys will be available to you 15 minutes prior to departure. Please note that this is the default early check out tolerance setting and may be different, please check with your System Administrator.

Please note: If you have made multiple bookings for the same start time you will need to repeat the process above for each booking.

  1. Go to the KeyMaster cabinet and click Departing on the touchscreen

  2. Enter your Employee ID, Booking ID, or swipe your RFID Swipe Card (follow what is on the prompt on the screen) and press OK

  4. If applicable, answer the Check-out prompt questions set by your organisation

  5. Open the door

  6. Take the key indicated by the green light

  7. Close the door

Returning

Once you have finished your booking, you will need to return the keys to the KeyMaster.

Please note: Once you have returned a key, you can’t get it back out regardless if your booking is finished or not so “Don’t put the key back until you are done”.

  1. Go to the KeyMaster cabinet and click Returning on the touchscreen.

  2. Touch the fob on the key ring against the scanner, or your access card on the reader.

  3. If applicable, answer the Check In questions set by your organisation.

  4. Open the door

  5. Insert the key fob into the slot indicated by the green light until you hear a beep.

  6. Close the door

Notes

Once you have returned a key you can’t get it back out regardless if your booking is finished or not so Don’t put the key back until you are done!

If your organisation has the departing method set to RFID Swipe Card (i.e. integrated with building entry cards), and the driver does not have the card, they will be unable to get the key out of the KeyMaster. The only option available is for an admin to remove the key temporarily. Please also note that the booking will also need to be manually checked out and in as well as odometer readings updated.
