Turn off drivers licence details and retain driver records

PoolCar will not create a driver record if the driver licence details are disabled on the Welcome page.

The below steps outline an alternative process that can be followed to stop the entering of licence information and still have driver records created.

Instructions

To do this you will need to (roughly) do the following:

  1. Delete all existing Licence Types via SysAdmin Main Menu > System Data > Licence Types

  2. Add a licence type ‘NO LICENCE’ (capital letters is important) Please note that you may not be able to add this text as it is often added automatically by the system when all the Licence Types are deleted.

  3. In Application Settings

    1. In Driver Licence Tab

      1. Set Driver licence verification enabled to ‘No’

      2. Set Default Licence State is set to ‘- Select –‘

      3. Set Default Licence Type is set to ‘NO LICENCE’ 

      4. Set Licence re-verification method to ‘No re-verification beyond initial verification’ 

    2. In Calendar Tab

      1. Set Drivers can only see bookable assets which match their driver licence type to ‘No’ 

  4. Make sure the Licence-related robots are turned off.

This will result in the following:

There will be an option for ‘Licence Type’ in the Welcome page, but the only option will be the built in ‘- No Licence –‘ and ‘NO LICENCE’.

This, by design, hides all other fields relating to licence from been shown.

The wording can be changed from ‘NO LICENCE’ to something more suitable, i.e., NO LICENCE REQUIRED, NOT REQUIRED, or something similar, please request this is done via the Smartrak Service Desk 

IMPORTANT NOTE - Turning off driver licence requirement

It is not recommended to turn off driver licences altogether as this will result in no driver records being created and therefore users not being able to make bookings.

There is a warning on this page which states “Warning disabling this setting will hide all driver licence fields on the Welcome page and stop the creation of driver records in the Driver Register. This is not recommended - we recommend the alternative process explained in this article, that will prevent drivers from entering licence information and allow the system to continue creating driver records.”

This setting is located under Account Settings > Application Settings > Legacy
