How do I replace a vehicle in Pool Booking and Transferring Existing Bookings to Another Vehicle?



Replacing a vehicle in Smartrak Pool Booking 

 

  • Log into the Smartrak Map site (NZ or AU)

 

If you are processing a direct replacement of a pool vehicle and need to update it in the Smartrak Pool Booking system, we recommend that you follow this process:

  1. Locate the 'old' vehicle in Manage Plant

  2. Update the tracked vehicle to the new vehicle name (this will automatically update the rego, make, model & year)

  3. Update name and any other details as required

 

Please note:

  • When you delete a plant it checks if there are ANY bookings in the future (recurring or not). If there are, it won’t let you delete the plant until you cancel or move the bookings to another plant

  • Drivers aren’t advised unless the bookings are changed (as per usual)

  • If a unit is deinstalled, for example, or the permissions are removed from a person who has bookings on a vehicle, we don’t do anything.  It is expected that these things are taken care of by a booking admin before it happens

 

Transferring Existing Bookings to Another Vehicle

 

  • Before the old vehicle is deinstalled/virtualised (if applicable)

  • Locate the vehicle in Manage Plant

  • Scroll right to the bottom of the page

  • Confirm the Plant Type and Target Plant from the drop down list

  • When the target plant has been selected confirm the details and click Transfer

  • If there are any issues with the bookings (i.e. the target plant is not available for any reason), they will appear in the Not transferable table
