Creating and Managing User Accounts

Client Admin and Corporation Admin users have access to create, manage and delete users from Smartrak. Please note, Smartrak must create Client & Corp Admin users.

Please be advised that your Smartrak Admin may look slightly different from the one in the videos, but the process to follow is the same.

Process - creating a new Smartrak app user account

Process - creating a new Smartrak app user account

  • Log into the Smartrak Admin site (NZ or AU)

  • Go to Manage > Users > Create tab

  • Enter username

    • for Smartrak app user accounts it is recommended to use full email address all lower case

    • for Client Admin accounts it is recommended to use firstname.lastname.admin

  • Enter first & last name

  • Enter Mobile number (if applicable)

  • Enter email address

  • Select role from the drop down

    • Booking only – Smartrak Pool Booking (not PoolCar) user access

    • Booking view only – Smartrak Pool Booking (not PoolCar) view-only access

    • Client Admin - Smartrak Admin full access user (*should be limited to selected users, can only be deleted by Smartrak, please raise a ticket in the service desk)

    • Current Mode Only - Smartrak App restricted map access - no access to History Mode, Messaging, Reports or Pool Booking - optional addition of Alerting functionality - raise ticket in service desk to enable.

    • Map User – Smartrak App full access to the Map, History, Alerting, Messaging, Reports, Dashboard, Pool Booking

    • Servicing Only User - Smartrak App Fleet Servicing access only

    • Vehicle Details Admin – Smartrak Admin access to only Resource Info page (*not recommended to use this user level)

    • View Only – Smartrak App view only access to the Map - no access to Reports, - user cannot create geofences.

  • There are also three tick box options:

    • Has fleet management – this provides access to the Smartrak Fleet Servicing module

    • Is booking administrator – only necessary for Smartrak Pool Booking. This gives the user access to the admin side of the pool booking system, namely Reports and Admin

    • Can create and view shared (company wide) map tags – recommended to select if they need access to create and view map tags

 

Please note - once the first Client Admin has been created for an organisation, then they can create other Client Admins.  

A Corporate Admin can create new Client Admins, it is recommended to have only one Corporate Admin per company.

Description

Normal Map User

User who can only view the map but not create geofences, message units or poll. This user cannot view reports, fleet or messaging.

User can only access the Smartrak Pool Booking system.

User who can access the Smartrak Pool Booking system, but cannot make bookings.

Map user who can only view Current Mode. No access to History Mode, Messaging, Reports or Pool Booking.

A user that can only access the fleet servicing section of the App.
