Infringement Register

This is the register of infringement notices received.

You can configure additional authorities and infringement types to record all infringements received by your organisation.

What is it?

This is the register of infringement notices (e.g. parking, speeding fines) received.

Who can see it?

The register can only be viewed by Sysadmins Only

Pool Administrators are notified via email of Infringements on vehicles in their pool/s

Where can I find it?

Under Registers on the Sysadmin Menu

 

How do I use it?

You can chose to see Infringements under a particular Status -

Requested,

Supplied,

Closed,

or dropdown and select ALL to see infringements under All statuses.

Adding a new record

To add a new record to the register, navigate to the Infringement Register and Click on Add New

Complete the fields in the form

 

Once saved, an email will be sent to the vehicle contacts and Pool administrators, and the Infringement will appear in the register under the Requested status

Once the Driver details have been confirmed (Tip: take a look at the Who Had It? page to see who was driving), you can edit the Infringement, and add the driver's details in.

See the note at the bottom of this guide about Australian customers* and how the fine amounts differ between individuals and businesses.

At any stage of the infringement process, you can edit the fine amount, as once the driver has been identified, the infringement is no longer recorded against your organisation and will be reissued to the driver directly.

In this case, it is still a good idea to keep the record in the infringement register (for reporting purposes), but as the fine will now be reduced to $0, it is best to change the fine amount to $0 as Infringement fines will appear in the Expense Register.

An email will be sent to the driver to confirm their details, this email content can be configured in the Email Template - Infringement section.

Once the Infringement has been finalised and paid, the record is closed and an expense record is created in the Expense Register.

Adding new Infringement Authorities

Please note - If the Issuing Authority or Offence Type is not listed, they will need to be added via the Infringement Authorities List and/or Infringement Types List found under the System Data heading on the Sysadmin Menu. See instructions in next two sections below for how to add these.

Navigate to System Data > Infringement Authorities List

Click on Add New

Enter the Name of Authority and click Save

Enter the new Infringement Type and click Save

A note about fines for Australian customers*

In Australia, speeding fines differ significantly between individuals and businesses, especially when it comes to company vehicles.

For Individuals:

When an individual is caught speeding, they receive a fine and accrue demerit points on their driver's licence. The penalties vary depending on the severity of the offence and the state or territory in which it occurred. For example, in Victoria, as of July 2024, exceeding the speed limit by less than 10 km/h results in a $247 fine and 1 demerit point. More severe offences, such as exceeding the speed limit by 45 km/h or more, can lead to fines up to $988 and a 12-month licence suspension.

For Businesses:

When a speeding offence is detected in a vehicle registered to a company, the business is responsible for identifying the driver at the time of the offence. If the company fails to nominate the driver, it faces substantially higher fines compared to individual penalties. This policy aims to ensure accountability and prevent companies from avoiding demerit point allocations.

For instance, in Victoria, if a company does not nominate the driver responsible for a speeding offence, it is liable to pay a penalty of $3,952. Companies that fail to nominate a driver three or more times within a 12-month period may face fines up to $23,711.

Similarly, in New South Wales, companies that fail to nominate the offending driver can incur fines up to $22,000.

These stringent measures are designed to ensure that the actual drivers are held accountable for their actions, promoting road safety and responsible driving practices.

It's important to note that traffic laws and penalties can vary between Australian states and territories. Therefore, it's advisable to consult the specific regulations in the relevant jurisdiction for the most accurate information.
