Adding an E-bike into Smartrak Pool Booking

Only a Booking Admin can do this and it is system settings dependent.

An E-bike does not require a driver's licence and therefore is not considered a vehicle by the Pool Booking system.

Follow these steps to enable the E-bike Plant Type and add E-bikes into your fleet of bookable assets.

Enable Smartrak Pool Booking system setting to Allow user to create virtual units

Create new Plant Type

Navigate to Admin > Manage Plant Type

Ensure Vehicle Type is not selected

 

Options

You can restrict use to certain users

You can assign a particular number to a location

 

Create the E-Bikes

Navigate to Admin > Add Plant

Once you select the Plant Type ‘E-Bike’, the fields will change and you no longer have to select a licence type or vehiclar attributes

Enter in the following details

  • Asset/Plant Name

  • Category (if applicable)

  • Timezone (select from dropdown)

  • Base Location (select from dropdown list of base locations in Pool Booking)

  • Make, Model, Year

  • Bookings require approval (tick box)

  • Custodian (select from dropdown)

  • Is Shuttle Has Towbar (tick box)

  • Charge rates (if applicable)

  • Availability (select from dropdown)

 

Now your people can book E-Bikes!

To Book and E-Bike with Smartrak Pool Booking

 

On the booking calendar, by default the Plant Type <All Vehicles> is displayed, select either All or <All Non Vehicles> from the dropdown

Select the Pickup Location from the dropdown

The available plant will show on the calendar

Click and drag on the calendar to open the New booking form

Complete New booking form as usual

 

 

If you need to Book on behalf (which you can now do for those people within your organisation who do not have a drivers licence)

Select applicable Driver from the dropdown
